2015 Regional Seminar Supplier Information
 
The VRMA Regional Seminars offer many opportunities for building relationships with current and future clients:
 
Vendor Showcase

Registration is now open for the Western Seminar and Eastern Seminar
 
Exhibitor Placement
Once you have registered for a booth, you will be sent a showcase information form to indicate your table preferences. Initial table assignments will be made for vendors registered by the early registration deadline, with priority given first to corporate sponsors (Gold, Silver, Bronze), then to conference sponsors, and then according to registration date. Vendors registering after the early registration deadline will be assigned tables on a first-come, first-served basis.
 
Exhibit Space Dimensions
The Regional Seminars will each have simple table set-ups (not pipe-and-drape booths). If your company’s display does not easily fit on top of a 6-foot table, the table can be removed.

Each exhibitor space will be 8-feet wide (to accommodate one 6-foot table and 1-foot on either side) and approximately 6-feet deep (to accommodate the tables and chairs).

Western Showcase
  • Portland Marriott Downtown Riverfront: The Vendor Showcase will take place in the Oregon Ballroom Salon F-I. Seminar Programming will take place in the Oregon Ballroom Salon A-E.

  • New for 2015! – Pacific Exhibition Decorating Company will be the official exhibitor services contractor for the Western Showcase. The Exhibitor Kit will be coming soon.

Eastern Showcase
  • Marriott Norfolk Waterside: The Vendor Showcase will take place in the Norfolk Ballroom III – V on the first floor. Seminar programming will take place in the Hampton Ballroom on the third floor and Norfolk Ballroom I and II on the first floor.

  • New for 2015! – Dunmar Exhibit Services will be the official exhibitor services contractor for the Eastern Showcase. The Exhibitor Kit will be coming soon.

Showcase Prizes

Individual Booth Prizes: All exhibitors are encouraged to provide a prize worth a minimum value of $25 to encourage attendees to visit the showcase and, specifically, your company. Vendors are responsible for collecting participant information, selecting prize winners (however they choose), and distributing prizes. VRMA will collect winners’ names and assist vendors with winner notification. If you include your booth prize on your Showcase Information form, VRMA will promote it to Conference attendees through the Showcase Guide, signage, and advance promotion.
 
Game Card Prizes: In addition to the individual prizes given by vendors, VRMA will also provide a "grand prize” to encourage attendees to visit all the vendors. Vacation rental managers will be given game cards to be stamped as they play through the Showcase; those who visit every booth will be entered in a prize drawing.

 
Advertising

Deadline: Western- March 5 | Eastern- March 19

Advertising at the Regional Seminars is a great way to get your message in front of vacation rental managers before, during and after the Seminars. Programs will be distributed to all Seminar attendees and posted on the VRMA website before the Seminar. Attendees will keep their programs through the duration of the seminar, referring to them frequently, and many attendees will likely keep the program for reference after the Seminar. Sponsorship Opportunities

Show your support for the vacation rental industry and highlight your company’s message by becoming an event sponsor. Several sponsorship opportunities exist at various price-points to make it easy for all supplier members to participate. The earlier you sign up, the more recognition you will receive; sponsors will be added to the Seminar web pages and highlighted in Seminar promotions as they are confirmed. Host Client Meetings & Receptions

Deadlines March 20 (Western) & April 3 (Eastern)

All supplier members are invited to hold meetings or receptions at the Seminar venues. This can be a great way to build relationships with your current or potential clients. Gather your top clients for lunch on Monday or breakfast on Tuesday of the Seminars to show much you appreciate their business. Hold a late night reception to get to know potential clients better. Reserve a private room to have one-on-one client meetings. Whatever you choose, make it convenient for Seminar attendees by holding your event in the Seminar venue.
 
To book meeting space at the Seminar hotels, please submit the meeting request form to VRMA by March 20 (for the Western) and/or April 3 (for the Eastern). VRMA staff will respond to requests within one week of receipt and, upon confirmation of space availability, connect you with the venue event staff.

Coupon Code Competition
 
As a VRMA supplier member, you interact with numerous vacation rental managers on a daily basis. Some are VRMA members, some aren’t. Why not give your customers who are not VRMA members a way to register for a VRMA Regional Seminar at a discounted rate? (VRMA members still register at the best available rate.)
 
Again this year, supplier members have the chance to give non-VRMA member clients a coupon code for $100 off the non-member Seminar rate.
